The Research Administrator III (RA) is a position which will support the faculty and personnel in the Clinical Research Division by providing support in grants and contract management (Pre- and Post- Award), budget monitoring, regulatory administration, and general day-to-day operations of the program faculty. The financial portfolio is comprised of various sources of NIH, foundation, industry, professional society, internal pilot, subawards, and institutional support and includes regulated activities.

 

This new role is part of a team of Research Administrators and Administrative Coordinators which provides a network of peer resources and team environment supporting the program faculty. The position will work under the direction of the Research Administration Manager and will act independently in performing daily responsibilities, partnering with program faculty and interfacing with other departments as needed to provide research administration.

 

This role will have the opportunity to work partially at our campus and remotely; spending at least 3 day per week on campus.

Responsibilities

Funding Source Administration:

  • Work closely with assigned faculty to provide overall Research Administration support, based upon the faculty’s area of research interest and goals.
  • Lead and provide strategic guidance on grant submissions and post award activity by conducting tasks such as:
    • Creation and communication of timelines to appropriate stakeholders.
    • Completion of all technical/non-scientific steps and assigned technical or scientific portions of submissions.
    • Work with faculty to develop strategies for responses/requests.
    • Review budgets, identify discrepancies and provide recommendations to the PI on scenarios to resolve issues with appropriate stakeholders.
    • Prepare annual progress reports, oversee sub-award activation, management, and oversight.
  • Lead fiscal management of research projects.
  • Monitor project budgets, ensuring that all financial allocations and expenditures are in accordance with grant/contract guidelines & regulations as well as institutional policies.
  • Manage non-sponsored budgets, such as discretionary accounts and gift funds.
  • Prepare monthly budget summaries and reports for PIs.

Fiscal Support:

  • Build and oversee budget and projections for finances of the faculty in assigned portfolio.
  • Build and oversee annual time and effort planning and reconciliation for faculty and research staff in assigned portfolio.
  • Serve as purchasing liaison placing and approving orders for supplies and equipment. Create and maintain standing orders for a variety of vendors.
  • Approval of all corporate credit cards for faculty in the portfolio.
  • Submit work orders for equipment repairs; procure and schedule outside maintenance when needed.

Administrative Support:

  • Complete or delegate key administrative tasks such as travel coordination, editing CVs, NIH Biosketch, Other Support, Publications, and Academic Review & Promotion portfolio materials.
  • Perform Human Resources activities, such as on/off boarding, staff recruitment plans, and coordination of annual performance evaluations.
  • Manage monthly time and effort reporting for the group.
  • Manage and track conflict of interest prior approvals, annual reporting, and conflict management plans.
  • Coach and develop newer staff.

Regulatory Support:

  • Prepare/Consult/Advise PIs on non-scientific portions of regulatory applications/submissions.
  • Lead IRB, IACUC, and MUA/DUA applications and renewals.
  • Identify missing regulatory components that are required and resolve issues to ensure successful submission or renewal.

Team Participation:

  • This position is expected to be a team player; participating in team activities, provide coverage for team members when they are out of office, and general collaboration in support of the Fred Hutch mission, is expected of individuals who work in Fred Hutch's Clinical Research Division.

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or 3 years relevant experience
  • At least 1 year experience managing sponsored research.
  • Advanced proficiency using Microsoft Office Suite, especially Outlook, Teams, Word, Excel, as well as Adobe Acrobat, as well as enthusiasm and ability to learn new technical programs and functions.
  • Intermediate Excel user; for example, using formulas, calculating values in multi-step processes, preparing account reports, and working with pivot tables.
  • Ability to edit SharePoint sites or basic web pages
  • Knowledge/prior experience with Enterprise Software Systems
  • Ability to source data from systems and generate customized reports
  • Strong organizational and problem-solving skills and the ability to manage competing priorities.
  • Excellent verbal and written communication skills and the ability to communicate effectively with personnel from a variety of levels.
  • Ability to navigate complex internal systems and departments
  • Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)
  • Basic knowledge of accounting terminology
  • Knowledge of relevant regulatory guidelines such as IRB, IACUC, MUA
  • Prior experience or exposure to grant writing/applications

 PREFERRED QUALIFICATIONS:

  • Four years of relevant experience, two years of experience as a research administrator preferably with principal investigators/academics
  • Certified Research Administrator or Certified Clinical Research Professional
  • Commitment to providing excellent customer service and partnership to internal and external stakeholders of Fred Hutch Cancer Center.
  • Ability to exercise sound judgement and make appropriate decisions.
  • Proactive, can anticipate needs, and set and meet deadlines.
  • Capable of working autonomously to complete assigned tasks with minimal supervision/direction.

The annual base salary range for this position is from $82,846 to $124,238, and pay offered will be based on experience and qualifications.
