The Statistical Center for HIV/AIDS Research and Prevention (SCHARP) at Fred Hutch is a full service statistical and data management center focused on HIV prevention research. SCHARP has an annual budget of over $40 million, more than 180 employees and is currently managing over 40 active phase I – III clinical trials in over 150 clinical sites around the world. SCHARP is seeking an Administrative Coordinator II.

 

As a member of the SCHARP Adminstrative Services team, the SCHARP Administrative Coordinator II is responsible for the coordination and implementation of administrative functions of SCHARP with a focus on maintaining staff services and SCHARP’s organizational culture.

Responsibilities

Program Support

  • Support the development and implementation of current and emerging programs and initiatives.
  • Coordinate professional development, conference attendance, and travel related activities.
    • Process requests for professional development and conference attendance including, obtaining required approvals and necessary travel documents, expense tracking and reporting.
    • Provide logistical support for staff attending trainings, conferences, meetings, and other work-related events, including registration, booking travel and lodging, advising on travel guidelines and reimbursement processes.
    • Maintain record of approvals.
    • Reconcile expenses, track, and report against budget.
    • Provide support for all aspects of the program.
  • Create and maintain documentation of internal guidelines and processes.
  • Coordinate special projects, activities, and events, as requested.

SCHARP Program-Level Administrative Services

  • Triage and respond to staff inquiries and requests.
  • General office maintenance and support.
  • Submit work orders and purchasing requests.
  • Maintain shared files, inventories, and other organizational documents.
  • Maintain SCHARP webpage and SharePoint sites.
  • Assist with on-boarding and orientation activities.
  • Participate in meetings including, VIDD Administrative Management, BBE Program Operations and SCHARP Executive Management Group.
  • Backup and collaborate with other administrative staff to support the business needs of SCHARP.
  • Other responsibilities as assigned.

 

Qualifications

Required:

  • Bachelor’s degree and six years for progressively complex administrative experience.
  • Outstanding customer service and time management skills.
  • Detail-oriented with strong organizational skills, able to anticipate upcoming needs and provide outstanding customer service.
  • High degree of professionalism, integrity, and outstanding interpersonal skills.
  • Strong verbal and written communication skills demonstrated ability to communicate effectively with all levels of personnel, and to establish and maintain positive relationships with internal and external partners.
  • Consistent, dedicated, versatile and able to prioritize and multi-task. Ability to respond quickly to new instructions, situations, methods, and procedures with a calm and professional demeanor. Willing to ask questions when a task is not clear.
  • Takes initiative and able to exercise independent judgment in effectively carrying out routine responsibilities within defined policies and procedures. Shows good judgment in interpreting guidelines and in when to seek support.
  • A desire to contribute to building an organizational culture grounded in community, mutual respect and support, inclusiveness and continual growth and learning.

Preferred:

  • Experience in a research or academic setting.
  • Experience with the budget process and/or developing financial reports.
  • Experience using Atlassian, SharePoint, Teams, and Slack.
  • Knowledge or spirit of inquiry for continuous performance improvement.
  • Demonstrated ability to work independently and as part of a team.
  • Ability to effectively partner with teams and individuals with diverse skillsets.
  • Positive attitude and sense of humor.

The hourly pay range for this position is from $29.42 to $44.11 and pay offered will be based on experience and qualifications.
