Fred Hutchinson Cancer Center is an independent, nonprofit organization providing adult cancer treatment and groundbreaking research focused on cancer and infectious diseases. Based in Seattle, Fred Hutch is the only National Cancer Institute-designated cancer center in Washington.

The Project Coordinator II supports the the Marketing & Communications department in a variety of budget and project management functions.

 

In this role, your responsibilities will include oversight and day-to-day management of cross-department budgets, tracking contracts, creating purchase orders, managing expenses, and ensuring effective stewardship of our financial resources.

 

You will also contribute to project management support, including daily monitoring of shared inboxes, working closely with project managers, supporting the project intake process, and collaborating on special projects with designers, digital producers, and marketing colleagues.

Responsibilities

Responsibilities and essential job functions include but are not limited to the following:


Contract and budget oversight (60%)

  • Develop and manage a system for cross-department contracts and budgets
  • Actively support budget process, including credit card reconciliation
  • Handle all purchase orders and track invoices
  • Manage departmental subscriptions and licenses
  • Identify opportunities to improve and simplify processes

Project management support (40%)

  • Daily management of shared inboxes and customer service support
  • Provide backup support to the project intake and management system for all marketing and communications requests
  • Collaborate with colleagues across the department on special projects

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience
  • 3+ years of progressively complex administrative work including maintenance of filing systems, fiscal and budgeting experience, etc.
  • Clear communicator with excellent customer service skills
  • Able to manage time-sensitive projects and confidential information
  • High level of attention to detail and organization, strength in self-initiative
  • Positive attitude, flexible and able to change focus easily
  • Able to professionally triage and troubleshoot while using independent judgment
  • Willing to ask for direction or questions as needed
  • Proficient in Microsoft Outlook, Teams, Word, Excel, PowerPoint, and SharePoint

PREFERRED QUALIFICATIONS:

  • Previous project management experience

This position is patient facing and/or requires access to Fred Hutch clinical facilities. As such, full COVID-19 vaccination is required as a condition of employment, without exception. Booster doses are strongly recommended but not required. If declining a booster, completion of the COVID-19 Vaccination Status Form Questionnaire and COVID-19 Booster Declination Training is required.
