This position serves as the primary point of contact regarding leaves of absence, accommodations, return-to-work, and stay-at-work programming for Fred Hutch. This position delivers these programs to a complex group of employees, including scientific staff, administrative, hospital and executive staff, as well as the leaders and HR staff who support them. This role functions as a contributor on the Benefits Team and requires discretion, tact and confidentiality in dealing with sensitive and confidential information.


  • Conducts intake sessions with all employees and managers to assess their need for support and guidance of Absence & Disability Management resources, including, but not limited to: completion of paperwork/online portal submission; understanding of resources; impact to benefits and pay; referral to, and collaboration with, relevant stakeholders; parental leave plan advising; etc.   
  • Counsels and guides employees and managers concerning their rights and responsibilities throughout their leave of absence in interpreting the legal parameters of applicable employer, federal, state and local laws.
  • Drives the interactive process for reasonable accommodations under ADAAA and applicable state accommodation laws.
  • Maintains current and complete understanding of federal and state laws, including case law and regulations such as Title VII of the Civil Rights Act, FLSA, ADAAA, FMLA, and state laws.
  • Develops and delivers training to managers, employees and all applicable stakeholders regarding all Absence & Disability Management Program services.  
  • Manages the Absence & Disability Management Program vendor relationship, to ensure all Fred Hutch stakeholders are provided with an efficient, effective and customer-focused experience.
  • Acts as a liaison between employee and insurance providers to resolve disability related issues and assures effective utilization and positive employee experience.
  • Oversees and maintains the receipt and storage of employee records for internal/external audits and inquires.
  • Reviews, processes and audits payroll transactions for all employees with active Absence & Disability Management claims.
  • Collaborates with the Benefits Team to monitor and track changes to employee benefits.
  • Collaborates with HRBPs and management to facilitate a case management approach when Absence & Disability Management Program resources intersect with other areas.
  • Drives and participates in projects to improve the Absence & Disability Management Program, including policy revision and maintenance, process improvement and employee experience.
  • Coordinates fitness for duty evaluations as needed.
  • Performs other duties as assigned.



  • Minimum of three years of relevant experience, with at least 2 years of that experience in: leave/accommodation administration, return-to-work/stay-at-work programming, HR case management, or related and transferable fields.
  • Knowledge of Microsoft Office Suite programs and HRIS databases.
  • Strong understanding of all aspects of relevant laws, regulations, policies, principles, concepts and practices, including, but not limited to, Title VII, ADA, ADAAA, WLAD and FMLA.
  • Must have good judgment and decision-making skills.
  • Must have the ability to critically think through ambiguous situations and collaborate with subject matter experts to develop appropriate and case-specific solutions.
  • Demonstrated strong written and verbal communication skills.
  • Interpersonal and business partnering savvy.
  • Ability to work independently with superior organization skills, but a strong effective team player with a commitment to building trusting relationships and delivering results.


  • PHR, CLMS, SHRM, or CPDM certification.
  • Experience with Payroll and/or Benefits administration.
  • Preferred HRIS experience: PeopleSoft, Workday and/or Kronos.
