The Executive Assistant supports Fred Hutch’s Vice President, Philanthropy, and represents the Philanthropy office in interactions both internally and externally. In this role, the Executive Assistant will provide comprehensive administrative support to the Vice President, Philanthropy including preparation of correspondence, agendas, presentations, and reports. The Executive Assistant will support the Vice President with calendaring, call and email management, travel planning, event and meeting planning and special projects. An essential member of the Philanthropy staff, the Executive Assistant will partner with the Administrative Manager, Campaign Manager, Assistant Vice Presidents. They will anticipate needs, clear obstacles, and identify opportunities to take ownership of tasks and projects.


The Executive Assistant is expected to take initiative, execute core responsibilities collaboratively and work well within a complex organization. Must maintain professionalism, show flexibility, be customer service oriented, have a strong attention to detail, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines. We are planning a comprehensive campaign that will drive growth and impact and the Executive Assistant must be able to effectively communicate the mission, values, and scope of the institution.


  • Supports the Vice President in donor-focused, principal gifts work which will include arranging meetings and preparing briefing materials and documenting donor communications, fundraising strategies, and proposals in Raisers Edge
  • Develops and implements systems for portfolio management and donor outreach
  • Collaborates with gift processing to ensure accurate and timely gift acknowledgements
  • Prepares correspondence including mail merge letters, memos, and e-mails
  • Creates and prepares reports, charts, tables, graphs, and other meeting/presentation materials
  • Maintains system for organizing, updating, and archiving documents and information
  • Schedules and coordinates meetings, travel, conference attendance and other program activities
  • Processes invoices and reconciles procurement card expenses
  • Maintains confidentiality of all sensitive materials and information in printed, electronic, or verbal form


  • Bachelor’s degree or equivalent experience and minimum of 5+ years’ complex administrative support experience required
  • Experience in nonprofit development or related field preferred
  • Advanced skills in Microsoft Word, SharePoint, Excel, PowerPoint and Outlook
  • Advanced skills with CRM and databases; experience with The Raiser’s Edge/RENXT preferred
  • Ability to work with executives and members of the community with poise and confidence
  • Ability to multi-task, work independently, prioritize effectively, plan ahead, problem-solve, and meet goals in a deadline driven environment
  • Ability to communicate clearly and concisely, both orally and in writing
  • Highly developed organization and information management skills required
  • Strong attention to high level of detail and quality of work; strong follow through
  • Strong writing skills required
  • Ability to deliver excellent customer service
  • Ability to handle confidential and sensitive information
  • Ability to build relationships and work in a team environment
  • Solid background in planning travel, meeting agendas
