A Case Rate Coordinator works directly with partners' staff; Case Rate Insurance vendors to assure that payments are received accurately and timely

Prepare payments to disburse to partner organizations and outside providers

Answer case rate related questions. Identify and provide patient information for Accounting department to process correctly for General Ledger.


In addition to the responsibilities of the Case Rate Coordinator , this role will assist the supervisor with the day-to-day operations of the unit.  Additional duties include reporting, analyzing of reports, as requested by Management.   You will be responsible for accurate and timely administration of contracts, compliance of third party payers and government agencies with contracts and reimbursement regulations to promote receipt of maximum, accurate and compliant reimbursement for the Fred Hutch Cancer Center. Reinforce consistent expectations with payers regarding reimbursements.   Responsible for accurate and timely administration of contracts. This includes training, billing, collecting and analyzing case rates. Requires attention to detail and independent decision-making.


  • Coordinate case period claims from partners, outside providers into packet form and submit to contacted payment carriers, along with payment invoice
  • Process and coordinate with followup reps and cash poster on payments. Resolve payment disputes with contracted payors
  • Calculate caserate payment per contracts
  • Access computer databases for spreadsheets for disbursements
  • Review and process weekly reports to partners
  • Reconcile accounts when closed
  • Maintain current understanding of contracted Case Rate payors
  • Other duties as assigned


In addition the to responsibilities of the Case Rate Coordinator 

  • Serve as point of contact for the unit.
  • Represent the unit in meetings.
  • Participate and possibly lead in continuous performance initiatives.
  • Assist with the on-boarding and training of new staff.
  • Interact with partner organization management staff.
  • Monitor the accuracy of the Access databases used for account management.
  • Triage issues/problems escalated by department and partner organization staff.



  • High School graduate or equivalent.
  • Two years in appropriately related revenue cycle function or equivalent education/work experience.
  • Ability to use a computer keyboard and mouse, navigate computer programs, and use email in a business setting.
  • Ability to communicate verbally in person, on the phone, and in writing in a clear and concise manner.
  • Identify and make recommendations regarding system issues.
  • Ability to effectively troubleshoot and escalate issues appropriately.
  • Critical thinking.
  • Ability to understand and meet performance standards.



  • Understanding of billing edits and ability to resolve/or make recommendations.
