Clinical Research Center, Administrative Coordinator II

 

The Clinical Research Center (CRC) Administrative Coordinator will support programmatic activities including scheduling exam rooms, calendaring, supply ordering and tracking, communications and other administrative functions needed for the CRC. The Administrator Coordinator reports to the CRC Operations Director.

Responsibilities

  • Representing the Clinical Research Center, act as a liaison with Center faculty, staff and outside individuals/organizations, answering questions and resolving problems
  • Coordinate all aspects of meeting scheduling and organization for the CRC Operations Director
  • Manage all scheduling of trial activities for 11 exam rooms using TRU Scheduler software
  • Expands on, administers, sets project resources, goals and timelines for key initiatives as defined by the CRC Operations Director, ensuring that projects are successfully completed and reported on.
  • Follows up to ensure milestones have been met within the designated timeframe and coordinates next steps.
  • Maintain and serve as point-of-contact on internal department websites
  • Maintain department email accounts, calendars and listservs; triage inquiries and requests
  • Order clinical supplies and other required items, tracking inventory to ensure sufficient quantities at all times
  • Reconcile monthly credit card expenses
  • Build and maintain strong working relationships with faculty, research administration, administrative departments and peers
  • Perform other duties as assigned

Qualifications

  • Bachelor's Degree and 5 years of administrative experience or equivalent combination of education and professional experience

  • Strong organizational skills and attention to detail

  • Advanced skills in Microsoft Office Suite on PC Platforms

  • Experience with MS Teams and other virtual platforms is desired due to current remote working environment; if there is no experience, ability to learn new platforms in order to coordinate online, virtual events is required

  • Experience with SharePoint, and website editing (AEM) experience desired

  • Executive calendar management experience

  • Ability to develop, plan and implement short- and long-range goals

  • Strong communication skills – ability to communicate clearly and concisely to all levels of staff and external audience

  • Ability to work independently and as a part of the team

  • Ability to prioritize effectively, plan ahead, problem-solve and meet goals in a deadline-driven environment

  • Ability to identify and take advantage of new opportunities, best practices and potential partnerships
