Job Summary:

The CTMS Program Office is a tri-institutional office housed within the Fred Hutch Research Administration department providing implementation and operational support services for the OnCore Clinical Trial Management System (CTMS) that is jointly managed by the Fred Hutch, the University of Washington (UW) and the Seattle Cancer Care Alliance (SCCA.)

The CTMS Assistant Project Director position is a senior leadership role within the CTMS Implementation team. The role will be accountable to manage activities and outcomes related to the CTMS implementation and delivery. The role will require expert-level project management skills, analytical and information synthesis skills, team and stakeholder management skills.


Scope of responsibilities:

The role will report to the CTMS Project Director and closely collaborate with other implementation team leads to help ensure cross workstream coordination for a successful rollout. The role will be responsible for direct management of a team of analysts and project managers and work with SCCA, Fred Hutch & UW teams across the organizations. The role is a high visibility/high impact role across 3 institutions with significant opportunity for professional development and growth.


  • Manage detailed integrated workplan for the CTMS implementation including tasks, risks and issues
  • Assign staff tasks, manage workload, inspect deliverables and report status
  • Manage various project leadership activities such as steering committee facilitation, budget management, and status report production
  • Effectively synthesize complex information to distill and deliver essential messages to key stakeholders including study teams, CTMS Steering Committee members and executives.
  • Actively manage risks and issues escalating as needed to project director
  • Partner with peer workstreams on CTMS product configurations, workflows, integration to other systems and data related activities
  • Define and manage a detailed testing plan including integration testing and user acceptance testing activities
  • Define and manage a detailed training plan including training for end users and business offices across the 3 institutions that will be utilizing the CTMS
  • Define and implement plans for pre-go-live readiness activities such data validation efforts and operational dress rehearsals
  • Define and implement detailed functional cutover plans and manage cutover activities
  • Provide management, coaching and mentoring for staff


Minimum qualifications:

  • Bachelor’s Degree
  • Minimum five (5) years of experience in healthcare IT, operations or large-scale project management
  • Prior leadership experience implementing and/or operating enterprise applications at large, complex institutions
  • Advanced knowledge of project management and business analysis tools, methodologies and best practices
  • Sustained, proven ability to think analytically, problem solve and use independent judgment
  • Excellent communication (written and oral), customer service, collaboration, problem solving and interpersonal skills
  • Superior presentation and organizational skills with an attention to detail mindset
  • Proven ability to work with a diverse group of stakeholders, including technical and non-technical personnel at various levels in the organization
  • Proven ability to teach and train others

Preferred qualifications:

  • Master’s degree preferred
  • Experience with Clinical Trial Management Systems
