    Shared Resources is a uniquely centralized program of specialized core facilities and scientific services that drives advances by integrating dedicated experts and cutting-edge technologies across the entire research pipeline, from basic science to clinical trials.


    The Shared Resources (SR) administrative (SR Admin) team is responsible for strategic planning and business analytics, business operations, financial management and oversight, administration, billing services, grant applications, and IT support and development.


    The Operations Analyst works independently under the direction of the SR Senior Operations Manager. The Operations Analyst will be an integral part of the administrative team and provide financial support, data analysis, project management, and grant support for the business and operations of Shared Resources. It is a key administrative position responsible for supporting, organizing, and coordinating activities for SR operations, which includes the Associate Vice President, Sr. Operations Manager, Core facility Directors, and SR Admin and SR IT teams. This role requires strong organizational and time management skills, attention to detail, the ability to effectively prioritize shifting tasks and to build strong working relationships.  Critical qualities also include exceptional written and oral communication, critical thinking, teamwork, good judgment, professional conduct, and ability to handle confidential/sensitive information.


    Responsibilities and assignments will span a broad range of functional areas, including communications, executive support, financial and program management, grants, project, and data management, while engaging strong interpersonal skills to aid SR leadership and team members.


    Business Operations

    • Monthly Shared Resources dashboard including revenue, operational metrics for each core, turnaround times, budget & forecasting; year-end sponsored Funding reconciliations.
    • In close partnership with Fred Hutch Finance team and Sr. Operations Manager, prepares financial models/analyses to support current and proposed business transactions, service offerings, and performance improvement initiatives
    • Prepare utilization analysis and trending; provide monthly analysis of variances and make recommendations.
    • Assist in the development and implementation of the division's annual operating and capital budgets.
    • Monitor and report productivity metrics. Provide support for revenue cycle management, including billing, charge codes, charge capture, and reporting.
    • In continuous monitoring of Shared Resources rates; determine the cost of operations and establish/update pricing and billing rates on an annual/bi-annual basis — partner with Core Directors for external benchmarking.
    • Creates routine and ad hoc reports and presentations to provide recommendations about business operations data to leadership, core directors, and other customers as necessary.
    • Responsible for the development and maintenance of grant budgets and expense tracking. Submission of Journal Vouchers when required.
    • Coordinate and manage Cancer Center Support Grant’s yearly requirements.
    • In partnership with Center finance and related departments, provide support of the strategic financial direction of Shared Resources.
    • Work with Sponsored Programs and other institutional regulatory offices to support compliance with NIH and other external sponsor guidelines for the application and management of awards
    • Advance the use of technology for decision-making processes as well as dynamic tracking of business operations. Work with IT teams to support the development and visualization of business operations in a dynamic dashboard.
    • Coordinate with the Audit team on SR core audits and support Core Directors with audit management action plans.
    • Responsible for user survey; completion of projects and portions of business plans, including research, data collection, and analysis. Summarize recommendations and conclusions. Participate in projects/initiatives to reduce operating costs and meet revenue goals.

    Communication, Outreach, and Administration

    • Responsible for planning and production of department communications, including SR website updates, satisfaction surveys, CenterNet articles, newsletters, and manuals.
    • Project manage external Shared Resource Website migration, including facilitating website content and supporting website analytics tracking.
    • Assist with special projects and perform other duties as assigned.


    Minimum qualifications:

    • Bachelor's degree or three years of experience in accounting or finance, preferably in a research or not-for-profit environment.
    • Working knowledge of financial information and related operational statistics.
    • Ability to develop and perform complex calculations in Excel and Access.
    • Strong analytical skills with attention to detail.
    • Well-developed verbal and written communication skills, including an ability to understand complex problems, to collaborate and explore alternative solutions — the ability to organize thoughts and ideas into understandable terminology.
    • Ability to work independently on multiple projects and communicate the status of projects to key decision-makers on a proactive basis.

     Preferred qualifications

    • Experience in research, clinical, or academic setting is ideal
    • Understanding of non-profit finance and government grants
    • Exposure to Hyperion, Tableau, SharePoint, and PeopleSoft is a plus.
    • Exposure to grant accounting or project cost accounting a plus.
