    The Graduate Program Office and the Office of Education & Training at the Fred Hutchinson Cancer Research Center are seeking a full-time Project Manager to assist with providing compliant and effective administrative support for Fred Hutch graduate programs and training grants.


    Graduate Program Office Administration

    • Work with the Program Operations Director to manage the administrative needs of approximately 100 graduate students including student on- and off-boarding, processing payroll, tuition, insurance. Ensure compliance with policies relating to Fred Hutch & UW students, UW, NIH and Fred Hutch salary, tuition, and benefits levels
    • Responsible for the coordination of Fred Hutch graduate courses including confirming teaching faculty, updating course catalogues and flyers, reserving classrooms, facilitating add codes and course evaluations
    • Responsible for the administration of staff assignments, and residency applications, including meeting with students one-to-one to confirm residency requirements
    • In collaboration with the Program Operations Director, manage the preparation of biannual Fred Hutch accreditation application with Washington Student Achievement Council
    • Perform administrative responsibilities including scheduling meetings, seminars, conference rooms and auditorium reservations; processing travel reimbursements, honorariums, and check requests
    • In coordination with HR, arrange travel, logistics and material shipments for Fred Hutch participation in outside educational conferences
    • Work with Division administrators to assist with student involvement in retreats, including the “Student Ambassador” program
    • Maintain the internal database for centralized organization and storage of graduate student information
    • Update and maintain the graduate student program websites (internal and external)
    • Work with the Program Operations Director on the Coalition for Next Generation Sciences efforts (data collection, website maintenance, etc.)
    • Other tasks as assigned


    Training Grants Administration

    • In collaboration with training grant administrators, assist with the preparation of new, competing and non-competing training grant applications and renewals. Gather information and data for these submissions from faculty, students and UW/Fred Hutch departments
    • Write, edit and format non-programmatic portions of training grant applications, including sections on responsible conduct of research, and recruitment and retention plans
    • Create and maintain a central training grant database, to include all relevant data that will be reported to the sponsor, and all internal data related to training grant administration (e.g. publications, appointment letters, Individual Development Plans, etc.)
    • Coordinate and communicate training grant activities, such as annual symposia, trainee presentations and additional training opportunities
    • Assist training grant administrators with training grant website creation and maintenance
    • Lead quarterly Training Grant Peer Group meetings
    • Coordinate Training Grant Workshop for Fred Hutch and UW training grant administrators



    • Bachelor’s degree required or equivalent experience with a minimum of 5 years of progressively complex administrative experience
    • Advanced proficiency with Microsoft Office/Adobe
    • Working knowledge of Excel formulas and functions such as creating formulas and working with Pivot Tables
    • Experience planning workshops and events
    • Experience with database build-out and management
    • Ability to source data from systems and generate customized reports
    • Ability to tailor communications to specific audiences
    • Ability to navigate complex internal systems and departments
    • Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)



    • Prior experience or exposure to grant writing/applications including the knowledge of Uniform Guidance and government funding rules
    • Some finance experience preferred
    • Ability to edit SharePoint sites and basic webpages
    • Knowledge of Fred Hutch funding rules and policies
