    Working within the Immunotherapy Integrated Research Center (IIRC) and partnering with cross-functional Center teams such as the Therapeutic Products Program, Clinical Operations, Program in Immunology, Shared Resources, and Clinical Research Support, the IIRC Project Coordinator will provide administrative and project support to the IIRC Project Management and Finance Office team. The IIRC Project Management and Finance Office oversees the implementation and financial activities of all immunotherapy clinical trials in the Bezos Family Immunotherapy Clinic.

    Responsibilities

    A qualified Project Coordinator will manage key tasks including developing project timelines, processes, and administrative materials, meeting organization, carrying out complex administrative assignments, and monitoring study budgets. In addition to supporting the team, the IIRC Project Coordinator will assist with the implementation of a small portfolio of Immunotherapy phase I trials. This position requires flexibility in a rapidly changing environment and strong communications skills with internal and external partners.

     

    Project coordination

    • Assist with project team meetings, including scheduling meetings, distributing agendas, and documenting decisions in meeting minutes.
    • Coordinate implementation and administrative activities, ensuring all projects and tasks are completed according to project/study start-up timelines.
    • Manage communications with project team, serving as project/study liaison to outside collaborators, partners, and Center departments.
    • Track clinical trial start-up progress. Develop and prepare status and progress reports for internal and external project teams.
    • Partner with the IIRC Finance Team to coordinate financial documents needed to implement new trials. Work with the Finance Team to invoice partners in accordance to the clinical trial agreements.
    • Work with the Director of Project Management and Finance on key program initiatives with an eye to process improvement.
    • Maintain productive, positive relationships with industry partners in all communications.

     

    Administration

    • Perform administrative functions to support the IIRC Project Management and Finance Office including ordering supplies and managing the office discretionary budget.
    • Perform other responsibilities as required.

    Qualifications

    • BA/BS in related field required.
      • Project Coord. I minimum requirement- Three years post-bachelor's project coordination experience.
      • Project Coord. II minimum requirement- Five years post-bachelor's project coordination experience.
    • Advanced meeting organizational, planning, and facilitation skills.
    • Highly effective team player and excellent communicator with an ability to interact with internal and external stakeholders, scientists, and executives with diverse information needs and communications preferences.
    • Strong computer skills and experience with the Microsoft Office suite.
