    The Program Assistant III provides administrative and clerical support for the Facilities, Planning & Construction department. This requires effective verbal and written communication with various constituents both internal and external.

    Responsibilities

    The Facilities Planning & Construction department is a fast-paced environment and the individual in this position is required to be pro-active and use sound judgement to accomplish their duties. The Program Assistant may perform some or all of the following responsibilities:

    • Process and track all requisitions and purchase orders
    • Process invoices and maintain simple accounting records
    • Manage petty cash, reimbursements and procards
    • Organize and maintain capital alteration tracking
    • Manage campus signage program. Includes communication with signage vendors.
    • Update policies and procedures manuals
    • Perform clerical duties to include: drafting and word processing correspondence; running reports; editing and proofreading materials; ordering office supplies and organizing meetings
    • Update department page on intraweb and maintain team software programs
    • Assists with Moves, Adds & Changes (MACs) as needed. Includes tracking available product.
    • Perform related duties and special projects as assigned

    Qualifications

    • BA/BS in a related field of study. Minimum of three years experience in a related field. Demonstrated experience with billing, purchase orders and project-based requisitions is preferred.
    • Skills generally necessary will include: organizational skills, general office skills (i.e. typing, filing, phone skills), word processing/computer skills, ability to learn new application quickly and written and oral communication skills
    • Excellent time management and organizational skills
    • Ability to effectively collaborate and problem-solve with peers, staff within other departments
    • Strong verbal and written communication skills
    • Independent motivation to support attainment of individual and group goals
    • Enjoyment of a fast-paced environment
