    The Administrative Coordinator is responsible for the coordination and implementation of administrative functions for a Computational Biology Program under the direction of the Program Operations Director. The Administrative Coordinator works under general direction to administer Center and Computational Biology Program policies and procedures within existing framework. The Administrative Coordinator has responsibility and accountability for major administrative components of the Computational Biology Program.

    Responsibilities

    • Assist the Program Operations Director and staff with the development, implementation and administration of Center and Program policies and procedures.
    • Act as a liaison with Center staff and outside individuals/organizations, answering questions and resolving problems with regard to the administration of the Computational Biology Program.
    • Perform various administrative and operational responsibilities including scheduling meetings, conferences and seminars, reconciling procards, composing memos, updating program website, maintaining supply room inventory and ensuring shared equipment (printers, copiers, fax, etc.) are running smoothly.
    • Coordinate various HR related functions such as the on- & off-boarding processes for personnel, visitors and consultants.
    • Coordinate communications and logistics for various program meetings and events (faculty meetings, seminar series, faculty retreats, etc.).
    • Coordinate all aspects of travel for program personnel, including flight, hotel, ground transportation and reimbursements.
    • Assist in maintaining faculty documents (CVs, Biosketches, Bibliographies, etc.).
    • Assist the Program Operations Director and Investigators with special projects as needed.
    • Perform other responsibilities as required.

    Qualifications

    Required

    • Bachelor's Degree
    • 2 years (Admin Coord I) or 5 years (Admin Coord II) of progressively complex administrative experience
    • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and Adobe.
    • Ability to source data from systems and generate customized reports
    • Experience in event coordination (planning, organizing, and prioritizing your work as well as that of others)
    • Ability to tailor communications to specific audiences
    • Ability to navigate complex internal systems and departments
    • Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)

    Preferred

    • BA/BS and 3+ years of experience in research administration (including financial management)
    • Experience in on-boarding and off-boarding
    • Knowledge of relevant regulatory guidelines such as IRB, IACUC, MUA
    • Knowledge of Fred Hutch funding rules and policies
