    The CTMS Program Office is a tri-institutional office housed within the Fred Hutch Research Administration department providing implementation and operational support services for the OnCore Clinical Trial Management System (CTMS) that is jointly managed by the Fred Hutch, the University of Washington and the SCCA. 


    The CTMS Workflow Analyst position involves analyzing clinical research administration workflows across the institutions; mapping workflows to CTMS capabilities; helping study team staff understand and adopt changes introduced by the CTMS; planning, designing, and conducting functional and user acceptance testing; and creating end user-facing documents that describe how CTMS fits into research team operations. The role may lead cross-functional teams to solve complex business, systems or change management issues.


    • Performs analysis of clinical research administration current state workflows, working side-by-side with study teams and administrative offices to understand workflow pain points and opportunities  
    • Synthesize current state pain points and opportunities for review and incorporation into the future state design for the CTMS 
    • Summarize key workflow changes that will be introduced by the CTMS and define specific change management/adoption plans for each change by user role 
    • Develops comprehensive user acceptance testing plans, develops testing scripts and leads end users through the user acceptance testing efforts for the CTMS 
    • Develop and implement operational cutover plans and “day in the life” summaries that outline how each specific workflow will transition from a pre-CTMS landscape to a post-CTMS landscape 
    • Conduct adoption sessions including brown bags, webinars and practice labs that help teams understand and adopt the CTMS 
    • Guides and advises less-experienced Analysts 


    • Bachelor’s Degree 
    • Minimum five (5) years of experience in clinical research operations 
    • Experience working with CTMS systems; preferably OnCore 
    • Experience with IRB systems and workflows desirable 
    • Knowledge of applicable industry standards and best practices for clinical research 
    • Advanced knowledge of business analysis tools, methodologies and best practices; including but not limited to leading cross-functional team discovery and business requirement sessions, process mapping and SWOT analysis 
    • Experience with system conversion, customization and integration design and execution 
    • Proven ability to communicate complex workflow issues to study team staff 
    • Sustained, proven ability to think analytically, problem solve and use independent judgment 
    • Excellent communication (written and oral), customer service, collaboration, problem solving and interpersonal skills 
    • Superior presentation and organizational skills with an attention to detail mindset 
    • Proven ability to work with a diverse group of stakeholders, including technical and non-technical personnel at various levels in the organization 
    • Proven ability to teach and train others
