  • Overview

    The Program Assistant serves as part of the Donor Engagement program within the Philanthropy department.  This position provides administrative support for various tasks within the four teams that comprise the Donor Engagement program.  The Program Assistant is expected to take initiative, execute core responsibilities collaboratively, and work well within a complex organization.  She/he must maintain professionalism, show flexibility, be customer-oriented, have a strong attention to detail, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines.  The Program Assistant must be able to effectively communicate the mission, values, and scope of the institution.


    Responsibilities and essential job functions include but are not limited to the following:


    • Works collaboratively with all members of the Donor Engagement team performing administrative tasks essential to the successful execution of gold-standard cultivation, stewardship, fundraising events and communications
    • Provides dedicated administrative support for the Chief Philanthropy Executive, Donor Engagement including:
      • Preparing for and participating in meetings
      • Proactively anticipating meeting needs such as materials, handouts, PowerPoint presentations
      • Producing/providing follow-up materials as requested
      • Managing calendar
    • Performs specific tasks related to cultivation and stewardship events including:
    • Creates event collateral as needed
    • Prepares materials for and collates customized guest information packets
    • Ships materials for travel events as needed
    • Coordinates travel for scientist speakers and Donor Engagement staff for out of town events; maintains detailed travel schedules for multiple event stakeholders
    • Maintains philanthropy@fredhutch.org inbox
    • Maintains organization of team’s central storage areas
    • Reconciles monthly Procard expenses for all card holders
    • Coordinates and manages team volunteers for in-house projects
    • Submits and tracks purchase orders, requisitions and invoices with accounts payable
    • Manages Alaska Airlines charity miles account
    • Manages team’s SharePoint page
    • Handles team’s Raiser’s Edge action entry as needed
    • Provides day-of-event support as needed
    • Provides support for events colleagues as needed
    • Protects sensitive and confidential information
    • Other duties as assigned


    Summary of Experience

    • Bachelor’s degree required
    • Two years of experience in non-profit development or a related field
    • Advanced proficiency in Microsoft Office Suite required
    • Knowledge of Adobe Experience Manager, InDesign, Adobe Creative Suite preferred
    • Experience with Raiser’s Edge or RENxT preferred
    • Experience with Convio preferred
