The Donor Information Services (DIS) team manages and analyzes an extensive donor/prospect database with 500,000 constituent and prospect records. The 21-member team helps maintain and strengthen Philanthropy’s infrastructure while stressing the importance of quality data collection and gift handling, outstanding prospect research and management, valuable analytics, innovative software integration and database integrity.

The Special Events Gift Handler will serve as the liaison between Gift Services and Events team to assist in gift coding, credit card processing and acknowledgement responsibilities. This individual will accurately code Event donations for Gift Processor data entry into Raiser’s Edge. They will also assist in event attendee data processing and acknowledgement duties pre/post event. The Special Events Gift Handler will be well-versed in gift coding, database hygiene best practices and continuously aim to optimize current processes and procedures associated with DIS.
The Special Events Gift Handler reports to the Data Services and Analytics Manager


  • Responsible for coding incoming gifts accurately which includes preparing gift coversheets and discerning between ticket sales, auction purchases and donations for the following Events:
    • Hutch Award Luncheon (January)
    • Premier Chefs Dinner (May)
    • Climb to Fight Cancer (Various)
    • Shore Run (June)
    • IN for the Hutch (September)
    • Hutch Holiday Gala (December)
  • Process daily/regular credit card charges and produce accurate reports that balance with gift coversheets and transaction detail to ensure accurate gift entry into Raiser’s Edge.
  • Assist in event attendee Raiser’s Edge record creation, ensuring thorough search for an existing record is complete before creating a duplicate.
  • Coordinate pledge reminders in collaboration with Event Coordinator
  • Generates acknowledgement letters for the following campaigns in AGIV automated workbook:
    • Climb to Fight Cancer
    • Cause Related Marketing
    • Shore Run
  • Working in close collaboration with the Events coordinator to accurately code and track event registration in Raiser’s Edge and the event management database. This person will open mail and prepare gifts for deposits.


Minimum Qualifications

  • Bachelor’s degree or two years equivalent experience in nonprofit or high transaction data processing
  • Working knowledge of fundraising concepts, principles, procedures and techniques
  • Excellent editing, grammar and proofreading skills
  • Strong interpersonal and written communications skills to establish and maintain positive working relationships with various groups within Philanthropy
  • Ability to systematically understand workflow processes and suggest constructive improvements
  • Resourceful, self-directed and motivated with ability to handle multiple tasks and synthesize divergent information to improve processes
  • Ability to prioritize and adapt quickly to changing needs
  • Appreciates and embraces team work, new ideas and excited about new process improvements always striving to improve efficiencies.
  • Enjoys working in a team environment and has a proven record of positive contributions to the work of the team

Preferred Requirements/Experience

  • Event management software experience (Auction Maestro Pro, Greater Giving, e.g.)
  • Non-profit experience
  • Blackbaud product suite experience (Raiser’s Edge, Raiser’s Edge NXT, Luminate Online, etc.)
  • Must be available pre/post events
