    This position is in the Women’s Health Initiative Clinical Coordinating Center (WHI CCC), supporting WHI, a large and mature women’s health research study. The Administrative Coordinator I will work independently and in collaboration with other WHI CCC staff. She/he is expected to use initiative and sound judgment in carrying out responsibilities and to keep abreast of changes in priorities, protocols and procedures related to work responsibilities.


    The primary focus of the position is to provide administrative support of a complex, specialized nature to the WHI Publications and Presentations (P&P) Committee Chairs, Principal Investigators, and a variety of onsite study staff.


    • Act as liaison between Publications and Presentations (P&P) Committee Chairs and investigators, answering questions and resolving problems with regard to the administration of the P&P Committee.
    • Serve as expert in P&P Committee policies and procedures. Assist Administrative Manager and P&P Chairs with updating policies and procedures as needed.
    • Coordinate and support bi-monthly conference calls for P&P Committee. Record, transcribe, and distribute complex minutes and memos with timely turnaround.
    • Update and maintain complex MS Access database for committee support. Input all new manuscript and proposal information and update in-progress manuscripts as needed. Produce regular in-house reports for project managers, PIs, website use, and official reports to the NHLBI.
    • Support the WHI writing group process; monitor and enforce the P&P writing group policy, create surveys on SharePoint to collect writing group nominations from the broad WHI community, track nominations in MS Access, and communicate with lead authors and nominees.
    • Produce a variety of scientific, technical, and/or complex documentation using Word and Excel, creating graphs, tables, and links in spreadsheets and other documents in the development and maintenance of data entry forms, reports, and SharePoint pages.
    • Maintain committee pages on SharePoint. Update agendas, conference call minutes, and calendars.
    • Support the Nutrition and Cancer Scientific Interest Groups (SIGs): work with SIG Chairs to develop conference call agendas, schedule calls, send out meeting reminders, and record minutes.
    • Support the Administrative Manager with routine administrative tasks and special projects as needed (e.g., schedule conference calls, maintain the WHI study-wide directory on SharePoint).



    • Four years progressively complex administrative experience.
    • Able to work independently with minimal supervision and as part of a team.
    • High level of initiative; demonstrated self-starter.
    • Strong writing and editing/proofreading skills.
    • Excellent communication and diplomacy skills for communicating with PIs within FHCRC and around the country.
    • Proficiency in MS Word, Excel, and Outlook.


    • Bachelor’s degree.
    • Proficiency in SharePoint, MS Access, and Adobe Acrobat Pro.
    • Experience in a research setting.
