The Division of Clinical Research is seeking a Research Administrator with 1-2 years of experience to provide general administration support to the Clinical Interdisciplinary Collaboration Program as well as assistance to ensure compliant and effective funding, budget, and regulatory management. This position reports directly to the Program Operations Director, and will partner with four team members and their Principal Investigators, and interface with other departments (internal and external) as needed. The individual will work in an autonomous manner, with direction as needed to complete non-scientific grant-related tasks. The applicant must exercise independent judgment, be able to multitask without loss of accuracy or efficiency, and occasionally work under tight deadlines.



Execute administrative tasks as directed in support of a department or individual. Kay areas of responsibilities include: 

  • Serve as central point of contact to answer questions
  • Provide calendar and travel coordination for up to five investigators
  • Coordinate the submission of publications to NIHMS/PubMed Central as needed
  • Administer policies and procedures to ensure smooth operations of the program
  • Assist in reconciliation of corporate travel cards
  • Create and manage work orders.
  • Create and ensure reimbursement / TEV’s
  • Assist in referencing for manuscripts and grant applications
  • Assist in meeting coordination / event management system.
  • Edit and track content for presentations, CVs, bio sketches, and publications
  • Assist with time-keeping and other personnel administration support
  • Provide general department support such as purchasing and maintenance of supplies and equipment

Budget & Fiscal Support

  • Develop, monitor and track simple or basic budgets
  • Run financial reports to support budget management of the Program Operations Director and team
  • Gather and enter receipts and other documentation into relevant systems and tools to support monitoring of expenses against budgets

Funding Source Administration

  • Conduct the clerical aspects of pre and post award activities as directed, such as gathering documents, assisting with completion of content, acquiring signatures and formatting content to adhere to submission guidelines
  • Coordinate the adherence to submission timelines to ensure that deadlines are met
  • Perform key post award activities such as: interpreting the notice of award; flagging unique aspects or budget adjustments; and monitoring and adjusting the team’s commitments across the portfolio of projects based on awards

Regulatory Support

  • Complete forms and other documentation as directed to ensure compliance
  • Manage renewal timelines and ensure completion of regulatory (IRB, IACUC) documents in a timely manner.

Required: HS Diploma or Equivalent

Preferred: Associate or Bachelor's Degree

Prior relevant experience

Two years of experience in a research and/or non-profit organization preferred
