Overview

The Seattle Cancer Care Alliance, located in Seattle, Washington, is part of a dynamic collaboration among three organizations known nationally and internationally for their patient care and research: Fred Hutchinson Cancer Research Center, University of Washington, and Seattle Children's. Over the past 25 years, these institutions have worked together to support their mission of adult and pediatric oncology patient care services, research and education.

 

SCCA Facilities is responsible for the efficient and safe management, maintenance, and construction of all SCCA facilities, and manages over 500,000 sq. ft. in 11 buildings across 3 campuses. The facilities team works collaboratively with staff, leadership, partner organizations, and vendors to support ongoing operations and to implement projects and strategic initiatives. The Facilities Project Manager reports directly to the Associate Director of Facilities.

 

The Facilities Project Manager 1 coordinates SCCA Facilities projects, and plays a key role in representing Facilities in SCCA strategic initiatives. The Facilities PM 1 collaborates with Fred Hutch Facilities Planning, the Enterprise Project Management Office, SCCA leadership, stakeholders, the SCCA Construction Manager (when applicable), and vendors. The PM 1 will support project scope, goals, deliverables, and success criteria. The PM 1 is responsible for tracking project timelines, budgets, scopes, and quality objectives.

Responsibilities

Project Planning/Implementation

Plan, coordinate and implement projects in conjunction with the Construction Manager (when applicable) and as assigned by the Associate Director of Facilities. This includes:

  • Meet defined project goals, deliverables, and scope
  • Meet defined project requirements
  • Meet defined milestones and associated timelines
  • Identify project risks, and develop mitigation plans
  • Track and creatively resolve issues that relate to the project
  • Maintain project documentation
  • Execute project communication plan
  • Maintain FF&E spreadsheets for projects and strategic initiatives

Project Administration

  • Schedule meetings, conferences, and seminars
  • Work with a variety of stakeholders to track project deliverables
  • Enter requsitions for required purchases on project budgets
  • Provide inputs to high level dashboard of all Facilities project work
  • Produce custom reports as needed
  • Perform other project responsibilities as assigned

Budget tracking and reporting

  • Track project budgets and expenses
  • Provide budget estimates for Facilities and other SCCA departments
  • Reconcile expenditures
  • Create budgets and reports for the Associate Director or assigned leader

Continuous Improvement

  • Seek out opportunities for continuous improvement in Facilities department processes, including problem solving and a focus on both Facilities department goals and organization-wide objectives
  • Create and deliver reports and presentations on Facilities Continuous Performance Improvement (CPI) projects and Facilities support for strategic intiatives, deliver at CPI reports-out and elsewhere as appropriate
  • Act as department resource representative/stakeholder at CPI workshops, IFD events, 5s events, and other CPI events
  • Track and report savings and improvements related to Facilities CPI efforts
  • Attend CPI Report-out and other CPI events and meetings

Qualifications

Collaboration

  • Able to work successfully with multidisciplinary teams from all areas of SCCA
  • Able to effectively listen to and acknowledge the needs and perspectives of stakeholders
  • Able to accurately represent these needs in support of Facilities projects and SCCA strategic initiatives
  • Able to collaborate with FHCRC Facilities Planning, EPMO, and others on large projects and intitiatives

Communication

  • Able to communicate clearly and concisely a variety of contexts and media, including conversations, email, meetings, formal presentations, and prepared reports

Technical Skills

  • Intermediate knowledge and demonstrated experience with Project Management and LEAN methodologies and tools
  • Able to read and interpret architectural plan sets
  • Maintain knowledge and skills in facility planning, design, and construction

Prioritization and Time Management

  • Able to successfully balance competing priorities with limited time and resources
  • Able to evaluate work assignments appropriately, and escalate if added resources needed
  • Able to set clear expectations and effectively monitor delegated activities

Flexibility

  • Able to adapt to emergent needs, constraints, and barriers
  • Able and willing to perform other duties in support of SCCA Facilities as assigned
  • Able to adjust work schedule (including working some evenings and weekends) and location to accommodate project schedules and deliverables

  • Able to work as a partner with the organization's leadership in achieving solutions

 

Education and Experience Requirements

  • AA/AS in related field required, BA/BS in related field preferred
  • Project management or construction management certification preferred
  • A minimum of two years Project Management experience required. Experience working in a healthcare environment and/or experience with process improvement/re-engineering methodology is preferred.
