    Responsibilities

    This is a key administrative position responsible for supporting, organizing and coordinating activities and schedule for SCCA Chief Financial Officer/VP of Finance.  Responsibilities include: maintaining executive’s calendar, attending committee meetings, taking minutes, preparing PowerPoint presentations, handling correspondence (including triaging email alerts to staff), and other administrative duties as assigned.  The incumbent also maintains agendas and manages logistics for Board of Directors Finance Committee and other board committees. 

     

    The Executive Assistant interfaces and works collaboratively with leadership and colleagues in SCCA Administration, FHCRC, UW, and Seattle Children’s, in addition to board members, various government agencies, financial institutions, non-profit organizations, and health care institutions.  The incumbent completes specific special projects as assigned and demonstrates skillful communication in resolving complex and sensitive issues, exercising initiative and judgment in prioritizing activities and in decision-making within the scope of assigned authority.  The Executive Assistant also coordinates workflow of other assistants in the finance division in order to maintain effective and smooth office operations. 

     

    Responsibilities: 

    • Function as a primary contact person for the CFO/VP of Finance.
    • Maintain executive’s calendar. Schedule/arrange conferences and meetings, travel and other activities and requirements as needed. 
    • Coordinate various committee meetings, including agenda preparation and meeting minutes. 
    • Perform administrative duties to include office organization, records maintenance, and coordination of functions with various individuals and organizations. 
    • Coordinate agendas, scheduling, and logistics for SCCA Board Finance, Audit, and Investment Committee. 
    • Adheres to and supports SCCA Policies and Procedures.
    • Perform other duties as assigned

    Qualifications

    Qualifications:

    • Bachelor's degree or equivalent experience required.
    • Six years progressively complex administrative experience required.
    • Excellent verbal/written communication skills, including phone manner with customers required.
    • Proficiency in MS Office applications especially Outlook, PowerPoint, Word, and Excel required.
    • Ability to work independently and prioritize multiple tasks and demands required.
    • Strong interpersonal abilities and professional skills required.
    • Administrative experience in an academic or medical environment preferred.
    • Prior experience in preparing meeting agendas and taking minutes preferred.
    • Team leadership and strategic support experience preferred.
