The HIV Vaccine Trials Network (HVTN) Laboratory Program is part of an international collaboration of scientists and educators searching for an effective and safe HIV vaccine. The HVTN’s mission is to facilitate the process of testing preventive vaccines against HIV/AIDS. The organization conducts all phases of clinical trials from evaluating experimental vaccines for safety and the ability to stimulate immune responses to testing vaccine efficacy. The Laboratory Program is responsible for carrying out the scientific agenda of the HVTN in determining by laboratory based studies which vaccine regimens should be advanced for efficacy trials and show promise for licensure. This effort includes leading a number of working groups, committees, specimen repository oversight, assay performance and quality assurance.


The HVTN Laboratory Project Coordinator will develop and coordinate the projects of the laboratory studies for the HIV Vaccine Trials Network (HVTN) protocols (clinical trials) under the direction of the Associate Director for Project Management.  This role will participate in HVTN conference calls and meetings, prepare written reports and oral presentations, assist with financial reports and project timelines.  S/he will coordinate with both the HVTN Fiscal Manager and the Associate director to ensure timelines and budgets are closely monitored.




  1. Timelines, Tracking and Reporting
    1. Work closely with HVTN Fiscal Manager to establish budgets and track costs. Will also work closely with HCRISA (Hutchinson Centre Research Institute of South Africa) Treasurer and Cape Town lab staff to ensure financial tracking of international budgets.
    2. Track project milestones and project timelines including budgets for progress reports and related financial reporting replated to those timelines.
    3. Write progress reports to management and maintain correspondence
    4. Establish a process to keep management up to date on the progress of all studies and study related documents.
  2. Coordinate and track the projects of the HVTN Laboratory activities including but not limited to:
    1. Track progress of studies including study data reports.
    2. Organize face to face meetings and conference calls.
    3. Establish agenda and review minutes. Serve as coordinator and contact between members, study investigators, oversight committee and working group leads
    4. Coordinate updates from working groups and repository
  3. Help with the coordination NIH/DAIDS and other scientific related visits/meetings and their annual reports.
    1. Coordinate visits by the Division of AIDS, NIH (DAIDS) and other potential scientific team meetings.
    2. Assist with the submission of the annual progress report including budgets to DAIDS and related reports.
    3. Maintain communications and track working group project’s progress. Communicate and track timelines and milestones.


  • BA or BS with 2 years’ experience with financial reporting and project coordination/management.
  • Experience with human clinical trials and/or lab work strongly preferred.
  • Excellent written and oral communication is required.
  • Experience with MS Office. 
  • Experience with MS Project and/or MS Visio preferred.
  • Strong background in collaborative team leadership and project completion.
  • Ability to create and manage project schedules, including tasks, deliverables, milestones and schedules.
