The Event Coordinator serves as part of the Donor Engagement and Events program within Fred Hutchinson Cancer Research Center’s Philanthropy department and reports to the Senior Manager, Events dedicated to external fundraising events.  The Donor Engagement and Events program is responsible for cultivation and stewardship activities for Fred Hutch supporters and prospects, including all cultivation and fundraising events.  The Event Coordinator is responsible for events, projects, tasks, and administrative functions critical to the success of Fred Hutch’s external fundraising events (EFE) program.  

 

The successful candidate will exhibit dependability and willingness to work as an integral member of the Philanthropy team and be capable of working well within all levels of the organization.  The Event Coordinator is expected to take initiative, be a self-starter able to work independently of others yet able to excel in a collaborative environment, and work well within a complex organization.  Must maintain professionalism, show flexibility, be customer service oriented, have a strong attention to detail, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines.  The Event Coordinator must be able to effectively communicate the mission, values, and scope of the institution.

Responsibilities

Responsibilities and essential job functions include but are not limited to the following:

 

  • Works in collaboration with the Senior Manager, Events, to ensure the ongoing success of the EFE program
  • Works directly with external constituents, manages EFE approval process, collaborates with the Director, Integrated Communications for promotion of select events, and maintains records for all EFE applicants
  • Conducts follow up, gift processing, acknowledgements, and data support
  • Serves as project lead for larger external fundraising events, such as Celebrity Steakout; coordinates day of event logistics for multiple events including set up, registration, troubleshooting during event, and clean up
  • Assists with tracking of event timelines and expense budgets
  • Recruits necessary event volunteers for assigned events, including volunteer management, training, and support
  • Documents and maintains records for historical analysis and information purposes using Raiser’s Edge, Auction Maestro, and other Philanthropy software applications
  • Routinely engages with fundraising events colleagues, providing added support for signature fundraising events
  • Collaborates as part of the Fred Hutch Philanthropy team to meet annual fundraising goals for the Donor Engagement and Events program
  • Maintains confidentiality of all sensitive materials and information in printed, electronic, or verbal form
  • Additional special projects and administrative tasks as assigned

Qualifications

Summary of Experience

  • Bachelors degree required
  • Three years experience in non-profit event planning, Philanthropy or related field required
  • Advanced proficiency in Microsoft Office Suite required
  • Experience with The Raiser’s Edge, Convio, Auction Maestro Pro or event related software preferred
